Welcome to Woodhill Campsite. By booking and staying at our campsite, you agree to abide by the following terms and conditions.
These are designed to ensure a safe and enjoyable experience for all our guests. Please read them carefully and contact us if you have any questions.
1.Liability
Woodhill Campsite will not accept any liability of any description for any person or property using the campsite or the surrounding area.
It is your responsibility to look after your possessions, persons, and minors throughout your stay. We advise visitors to obtain appropriate insurance coverage for the duration of their stay.
Unless required by law, we will not be liable to you for any indirect or consequential losses, loss of profit, loss of business, or loss of goodwill.
Our maximum liability shall be no more than to refund the amount paid by you for the holiday.
We shall have no liability to you for any failure to perform any of our obligations under the contract if the failure is caused by matters outside of our control, including (but not limited to) acts of God, governmental restrictions, pandemics, health risks, conditions or controls, trade disputes, shortages of labour or materials, breakdown of machinery, or any other matter (“force majeure”).
2. Natural Environment
Woodhill Campsite is set in a natural environment. There are natural hazards such as tree roots and wildlife habitats to be aware of.
There is limited artificial lighting after dark. By booking and coming to the campsite, you agree to be responsible for your children and your welfare and to take all reasonable precautions against personal injury, injury to others, and damage to the woodland.
3. Camping Pitches
The pitch you camp in can be pre-determined if you use the booking system on our website.
Woodhill campsite will also allow you to choose the pitch if you contact us via telephone, however if you do not mention which pitch you want we will assign you a pitch.
We will try to place groups of a similar size/composition in the same field.
Once we have allocated a field, our policy is that requests to change fields will be declined unless specific circumstances have changed.
4. Noise and Behavior
Campers are asked to be considerate of others and refrain from causing late-night disturbances or noise.
Use of loud, foul, or intimidating language or behaviour will not be tolerated. Young persons must be in their own accommodation by 10 pm, and quiet must be observed between 10:30 pm and 7:00 am.
Amplified music or electronic music from stereos/radios/mobile devices, played at any volume, and loud musical or percussion instruments are not permitted at any time anywhere on the campsite.
5. Health and Safety General
Woodhill Campsite is situated on a working farm. We have taken reasonable steps to minimise risks on this campsite; however, this does not mean the campsite is risk-free.
The campsite is surrounded by land which is not part of the campsite and which includes working farmland.
Due to the extensive nature of the campsite, and the ambience of the area, we do not provide artificial lighting. To ensure your safety, you should bring a torch to help you when walking after dark.
Outdoor footwear appropriate for the weather and environmental conditions is strongly advised at all times while on the campsite. Anyone who acts in a manner which is deemed to put themselves or others at risk whilst on the campsite will be asked to leave.
Campfire Use and Fire Hazards
We do not permit fire pits or bbqs on this campsite. Campfires, fire pits and bbqs are only permitted if they seek permission from the campsite owners before arrival.
Petrol/other accelerants should not be used. A water supply should be kept close by to use in an emergency.
All matches/cigarettes should be safely extinguished. Fireworks and sky lanterns are not permitted. If you have any concerns, please speak to your local fire station for the best advice on safely managing campfires.
Vehicles
Drivers should proceed with extreme caution at all times whilst on the campsite.
Everyone on the campsite should be aware of vehicles in/around the camping fields and take steps to remain safe.
Vehicles should not exceed 10mph on the campsite. Vehicle owners are responsible for their vehicles at all times whilst on the campsite and should ensure they are safely parked when not in use.
6. Booking
Even though Woodhill Campsite is a small campsite, we restrict the number of pitches that we make available. We may reach our pre-set limit on certain dates many weeks in advance.
When this happens, we close our booking system for those dates.
Priority of access to the campsite, as well as the camping field, will always be given to those who have made an online confirmed booking.
Booking Statuses
Saved Enquiry – A costing generated by the Woodhill Campsite booking system. It is not a booking and there is no obligation to continue to a Secured Quote or Confirmed Booking.
It will be kept on the Woodhill Campsite system for 7 days from the day it was saved and then it will be deleted from the system.
Secured Quote – A costing generated by the Woodhill Campsite booking system for which a 30% non-refundable deposit on the camping fee has been received by Woodhill Campsite.
A Secured Quote will be cancelled by Woodhill Campsite if the balance payment is not received in line with the terms and conditions of payment set out below.
Confirmed Booking – A booking where 100% of the total cost has been received by Woodhill Campsite, in line with the terms and conditions of payment set out below.
7. Deposits
A non-refundable deposit of 30% on the camping fee is required for all pre-booked camping breaks. We are not able to ‘reserve’ space on the campsite while awaiting deposit payment.
We, therefore, encourage you to carefully consider the length and size of your booking before committing to making a booking as deposits are non-refundable.
If once a deposit has been paid and the booking subsequently increases in size or length, Woodhill Campsite reserves the right to treat 30% of the new booking value of the confirmed booking as the non-refundable deposit element.
We appreciate that unexpected events occur; however, we cannot offer deposit refunds on bookings which are cancelled even if this is done because of ill health, Covid-19, family matters, work commitments, travel problems, or bad weather.
However, we will try to accommodate requests to transfer the deposit amount paid to another set of dates within the same camping season, although this may not be possible and will depend on availability at the time of the request.
Deposits paid cannot be ‘rolled-over’ to another year.
Payments Resulting in Non-Standard Banking Charges
Where customer payments made to Woodhill Campsite result in a non-standard banking charge (for example, a returned cheque), the full cost of this will be re-charged to the customer.
This could result in the collection of payment for your stay plus the penalty (balance outstanding) after the date of your camping trip, notification of which will be sent to you by email.
Where payment is not made within 30 days of notification, interest will be charged at 25% APR on the balance outstanding.
8. Cancellations
Cancellation Policy
If a confirmed booking is cancelled by the customer 13 days or fewer piror to arrival, the customer will be charged a 30% fee for the overall camping booking. This must be paid via a bank transfer or card payment over the phone.
All requests for refunds, for whatever reason (including ill health, Covid-19, family matters, work commitments, travel problems, or bad weather), must be made in writing and sent to the Woodhill Campsite email address or our postal address.
Please note the above refund policy does not apply to bookings which have been moved, at short notice, from their original dates to new dates 14+ days hence, and then cancelled.
If a Confirmed Booking is cancelled by the customer 14 days or less before arrival, they will incure a 30% fee on the overall camping fee which must be paid immediately deposit already paid on the camping fee will not be refunded, but there will be a refund of the remaining balance minus the payment processing fee and any admin charges.
Please note the above refund policy does not apply to bookings which have been moved, at short notice, from their original dates to new dates 14+ days hence, and then cancelled.
Camping Date Amendments
Camping breaks can be amended once only, and this must be done no later than 14 days before the booked date of arrival.
There is no charge for this service, but all amendments are subject to availability. If we are unable to accommodate the changes you wish to make and you subsequently cancel your booking, our standard cancellation policy will apply. Camping breaks cannot be amended less than 14 days prior to arrival.
Cancellation by Woodhill Campsite
In the unlikely event that we need to cancel your camping trip, you will be offered a full refund or the opportunity to re-book for different dates. We will not be liable for any additional expenses incurred as a result of the cancellation.
9. Campsite Conduct
Respect for Others
All guests are expected to respect the peace and enjoyment of others staying on the campsite.
Loud, abusive, or threatening behavior will not be tolerated and may result in the offender(s) being asked to leave the campsite without a refund.
Use of Facilities
All campsite facilities should be used responsibly. Children should be supervised at all times.
Any damage to facilities must be reported to the campsite management immediately. Guests will be held responsible for any deliberate damage to campsite property.
Waste Disposal
Please use the designated waste disposal areas for your rubbish. We encourage recycling where possible. Any hazardous or non-standard waste should be taken offsite by the camper.
Pets
Well-behaved pets are welcome but must be kept under control at all times. Please clean up after your pets and ensure they do not disturb other guests.
10. Complaints
If you have any complaints or issues during your stay, please inform the campsite management as soon as possible so we can address your concerns.
We value your feedback and aim to resolve any problems promptly.
11. Privacy Policy
We take your privacy seriously. Any personal information you provide will be used solely for the purpose of managing your booking and improving our services. We will not share your information with third parties without your consent unless required by law.
12. Amendments to Terms and Conditions
Woodhill Campsite reserves the right to amend these terms and conditions at any time. Any changes will be communicated to guests and updated on our website.
